SUMMARY:

This position is located at our corporate office in Warwick, RI. Monday- Friday 8:00 AM- 4:30 PM.

The Physician Services Administrative Assistant position provides key support to the President, Board Members and Executive team for creating and managing Physician and Nurse schedules. The Physician Services Administrative Assistant will work independently and maintain professionalism through all interactions. Acts as the first point of contact to external parties at the corporate office.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Support the Manager of Administrative Services in creating Physician and Nursing schedules across clinical sites and hospital partners.

Greet visitors, and act as the first point of contact to external parties at the corporate office.

Notify staff of deliveries, distribute daily mail, and manage postage requests.

Provide executive-level administration support as required by the President and other senior members of the management team.

Assists in the calendar management of the President's schedule.

Receives and screens visitors and telephone calls. Takes messages, fields and/or answers routine and non-routine questions. Transfers Provider calls to Physician staff.

Provide logistical support for projects, special events and board/quarterly meetings. Prepare agendas, materials, coordinate catering, etc.

Responsible for monitoring clinical reports and patient feedback surveys.

Must be able to work with and maintain confidential and time sensitive information.

Perform other duties and projects as assigned.

BASIC KNOWLEDGE & QUALIFICATIONS:

  • Advanced written and spoken communication and administrative skills; excellent telephone manner.
  • Computer literacy including MS Office products: Word, Excel, Outlook, Power Point; experience with mail-merges.
  • Exceptional time-management, planning, and administrative skills.
  • Ability to organize and prioritize workload.
  • Demonstrate high level of diplomacy, sound judgment, and discretion when dealing with physicians, vendors, and business partners.
  • High degree of self-motivation and flexibility

EDUCATION & EXPERIENCE:

High school graduate or equivalent. Advanced training preferred. Combined four to six years of full-time work experience.
